Kick-Off Workshop
One of the very first steps when the contract is signed is to participate in a Kick-Off-Workshop, which is an initial meeting that marks the beginning of a project or initiative. The main purpose of this kind of workshop is to ensure that everyone is on the same page regarding the goals, scope, timeline, deliverables, and expectations of the project.
Doing the workshop, your contract will be specified into a milestone plan and project plan. The overall plan, known as the project plan, ensures that all milestones agreed upon by you and your project manager are successfully achieved. These plans will be specific from customer to customer depending on the scope of projects and organization.
Overall, a kick-off workshop is a critical first step in any project as it sets the foundation for a successful and productive collaboration between you as a shipping company and us. As part of the project plan a roll-out plan for the fleet will also be agreed on. This typically depends on the availability of vessel data and when customers can get to the vessel for installation and import of data.
It is important to stress that the project plan and milestones are agreed to per project, meaning that you as a customer have a great influence on this. That way no decisions will be made on your behalf at any time. You will always have a say in the decision-making process and on what comes next.
Tasks during implementation
Our Project Managers are essential to the success of any project. They are responsible for planning, executing, monitoring, and closing projects while ensuring they are completed on time and within budget.
Examples of tasks during project implementation:
- Develop a project plan: This includes defining the scope, objectives, deliverables, timelines, and budget of the project. The project plan serves as a roadmap providing a clear understanding of what is expected of the various parties involved and what they need to accomplish.
- Complete the project in accordance with the contract and the specifications: It is the Project Manager’s task to ensure that project activities are carried out according to the plan and take corrective action to keep the project on track.
- Work out specifications together with customers if they are missing something: These are developed based on the customers’ needs and in collaboration with the developers.
- Complete monthly status reports, including budget follow-ups.
- Ensure good co-operation with the customer.
- Provide support and consultancy to the customer.
- Plan and perform necessary quality measures.
Teamwork: A powerful Project Management tool
The Teamwork tool provides an overview of the project’s status, making it easier for both our Project Manager and you to identify any potential bottlenecks that could impact project performance.
This means that we can monitor and manage projects more effectively, taking corrective action when necessary to ensure the project is completed within the desired timeframe and budget.
It provides a centralized platform for tracking and managing different aspects of the project, such as timelines, resource allocation, and budgeting. This simplifies the process, making it more efficient and reducing the chances of errors or miscommunications.
Another benefit is that it does not require any additional setup on the part of the user. As a result, it saves time that can be better spent on other important tasks related to the project. This is possible because it provides an easy-to-use platform for managing different aspects of a project and with its real-time updates and notifications making it easy to keep track of projects progress.
Vessel Roll Out
When SERTICA is rolled out to a new vessel, it is delivered with an install shield which guides the user through the actual installation. The process typically involves an initial setup and configuration phase, followed by onboarding training and system testing to ensure a smooth transition.
Documentation that describes the IT landscape needed and the expected settings and layout, makes it easier for vessel IT to distribute and adapt SERTICA to new vessels coming into the fleet.
By implementing SERTICA, vessel owners can improve efficiency, reduce costs, and enhance the overall safety and compliance of their fleet.
The goal is to seamlessly integrate the software into existing operations of the vessel and maximize the benefits it can offer. But to achieve this goal, we recommend installing SERTCA on board the vessels as early as possible in the project.
One of the most critical aspects of a successful roll out is training. Crew members and other users must be provided with comprehensive training on how to use the software effectively. Before the software goes live, it should undergo rigorous testing and validation to ensure that it is working as intended and potential issues have been addressed. Once the software is live, ongoing support and maintenance are essential to ensure that it continues to function smoothly and meets the vessel’s evolving needs.
In summary, a successful roll out of new software on a vessel requires careful planning, comprehensive training, rigorous testing, and ongoing support. By working closely with us, you can maximize the benefits of the software and optimize the performance of your fleet.
